CANCELLATION POLICY

VIVID Bike Co. will endeavor to provide the services required by the customer, but in the event of cancellation of the booking for any reason whatsoever, partially or in full, by or on behalf of you. VIVID Bike Co. reserves the right to claim the services, administration, communication, and cancellation charges which will depend on VIVID Bike Co. suppliers. Any bookings cancelled after the deposit has been paid may be subject to a cancellation fee.

CANCELLATION FEES

Any cancellation or changes must be confirmed in writing to VIVID Bike Co.

Cancellation fees will be charged as follows:

  • 30 to 44 days before tour date a 10% cancellation fee.
  • 15 to 29 days before tour date a 30% cancellation fee.
  • 7 to 14 days before tour date a 75% cancellation fee.
  • 0 to 7 days before tour date a 100% cancellation fee

CONDUCT

You agree that you will at all times comply with VIVID Bike Co.’ or the Third Party Service Provider’s requirements in regard to your conduct and you will not in any way constitute a nuisance or a danger to any other passenger on the trip.

SPECIAL REQUESTS

If you have special requests you must address such requests to VIVID Bike Co. in writing well before the departure date. Whilst VIVID Bike Co. will do its best to accommodate such requests, it does not guarantee that it can.

LIABILITY

Neither VIVID Bike Co. nor its representatives shall be liable for any injury, illness, harm, trauma, death and/or loss of or damage to your belongings whatsoever howsoever caused and you indemnify VIVID Bike Co. accordingly. VIVID Bike Co., its employees and agents shall furthermore not be liable for any indirect and/or consequential loss or damages whatsoever even though this may be as a result of negligence on the part of a VIVID Bike Co. employee(s).

BOOKINGS, CHANGE OF ARRENGEMENTS, ROUTES and PRICES

A deposit of 50% is required to confirm the booking and the full amount needs to be paid 30 days before arrival. Whilst every effort is made to keep to published itineraries, VIVID Bike Co. reserves the right to make changes as are deemed necessary. In some cases, conditions such as the weather may necessitate an alteration to the tour itinerary and this does not constitute any ground for a refund.

The Only Forms of Payment Accepted by VIVID Bike Co. currently are:

  • Direct deposit—cash only (deposit slips must be e-mailed to VIVID Bike Co.)
  • Electronic funds transfer (proof of payment must to be e-mailed to VIVID Bike Co.)

INSURANCE

VIVID Bike Co. urges you to take out additional insurance cover over and above the phase one insurance offered free as standard for international travel by the various credit card companies. Kindly check with your respective credit card company directly to obtain specific details of the complimentary cover.

HEALTH

It is your duty to familiarise yourself with the inherent dangers of and mental and/or physical condition required for your proposed travel arrangements.

CONFIDENTIALITY

Subject to statutory constraints or compliance with an order of court, VIVID Bike Co. undertakes to deal with all your information of a personal nature on a strictly confidential basis.

 

DISCLAIMER:

Cycling is an inherently dangerous activity conducted in a dynamic environment where the potential for unexpected and unforeseen events and/or hazards continuously exists.  Each individual, whether tour staff or tour client, is ultimately responsible for their own safety, and making appropriate decisions to that end.  You will never be forced nor required to ride in conditions which you believe to be unsafe for your ability level or skill set.  A cycling helmet MUST be worn by all tour staff and tour clients at any and all time(s) while riding a bicycle on a tour organized by “VIVID Bike Co.”.
